Welcome to Ethereal Events Aus. These Terms and Conditions (“Terms”) apply to all services provided by Ethereal Events Aus (“we”, “our”, “us”) and govern the relationship between us and our clients (“you”, “your”). By engaging our services or using our website, you agree to these Terms in full.
1. Our Services
We offer event planning and coordination services across various event types, including but not limited to:
Full-Service Planning
On-the-Day Coordination
Styling & Design Support
Vendor Recommendations
Custom Event Packages
Detailed inclusions and scope of each service will be provided in your personalised proposal or agreement.
2. Bookings & Deposits
To secure your Full Frontal Event Planning or On-The-Coodination booking:
A non-refundable deposit of [20%] of the total quoted amount is required to secure your date.
Bookings are not confirmed until the deposit is received and a signed agreement is in place.
Final balance is due 30 days before your event date unless otherwise agreed in writing.
To secure your Final Touches booking:
A non-refundable full payment must be made upon booking. This will secure your appointment slot.
We understand that plans can change — you're welcome to reschedule your appointment up to 4 hours prior to the original time at no additional cost, subject to availability.
If less than 4 hours' notice is given, 50% of the total fee will be forfeited, with the remaining balance available as credit toward a future session.
3. Payment Terms
Payment can be made via bank transfer, credit card, or approved third-party platform (e.g., Stripe, Square).
Late payments may incur a fee of [e.g. $25 or 5%] per week overdue.
Failure to pay by the agreed due date may result in services being paused or terminated.
4. Cancellations, Rescheduling & Refunds
4.1 Client Cancellations
Cancellations must be made in writing.
Deposits are non-refundable.
If cancellation occurs within [X weeks] of the event date, up to [50–100%] of the full fee may be retained, depending on work already completed.
4.2 Rescheduling
We will make all reasonable efforts to accommodate date changes, subject to availability.
A rescheduling fee of [e.g. $100] may apply.
4.3 Cancellation by Ethereal Events Aus
We reserve the right to cancel our services in the event of illness, emergency, or force majeure. In such cases, we will:
Offer a full refund of any unearned fees, or
Provide a suitable, trusted replacement from our professional network.
5. Client Responsibilities
You agree to:
Communicate honestly and promptly.
Provide accurate event details, access to venues, and respond to information requests within a reasonable timeframe.
Treat our staff, contractors, and vendors with respect and courtesy.
Ensure all vendors not contracted by us are briefed and aligned with the event plan.
6. Vendor Relationships
Vendors (e.g., florists, photographers, caterers) may be recommended by Ethereal Events Aus but are contracted independently by you unless otherwise stated.
We are not liable for the performance or reliability of external vendors, though we will liaise and coordinate as part of our services.
7. Force Majeure
We are not liable for any failure or delay in performance due to causes beyond our control, including but not limited to: natural disasters, government restrictions, pandemics, accidents, strikes, or unforeseen illness. In such events, all reasonable efforts will be made to mitigate impact.
8. Photography & Promotion
Unless otherwise agreed in writing:
We may use professional photos from your event (taken by us or your photographer) for promotional use on our website, social media, or marketing materials.
You can opt out of this by notifying us in writing prior to your event.
9. Liability & Indemnity
While we take every care in planning and executing your event, we are not liable for loss, damage, or injury arising from third-party services, venue issues, or attendee behaviour.
You agree to indemnify Ethereal Events Aus against any claims or expenses resulting from negligence, breach of agreement, or misconduct by you or your guests.
10. Intellectual Property
All designs, concepts, documents, templates, and website content remain the intellectual property of Ethereal Events Aus. You may not copy, share, or reproduce these materials without written consent.
11. Confidentiality
We respect your privacy and confidentiality. Any sensitive information shared during planning will not be disclosed to third parties unless required by law or necessary to perform agreed services (e.g., sharing venue access times with vendors).
12. Dispute Resolution
Should a dispute arise:
Both parties agree to seek resolution through open communication in good faith.
If unresolved, mediation may be pursued before legal action.
All services are governed by the laws of Victoria, Australia.
13. Amendments
These Terms may be updated from time to time. The most current version will be posted on our website and will apply from the effective date.
